Participation Policies

All participation in online and in-person gaming sessions with Three Dragons in a Trench Coat is subject to these policies. These policies may be updated at any time, without notice.

Behavior

We want everyone to feel welcome in our gaming groups and to be able to bring their authentic selves to the gaming table. No participant should feel pressured to suppress or mask behaviors during a gaming session.

Groups will work together to develop a list of group norms or group guidelines that will help guide participants through their collaboration together. Often, these guidelines will include reminders about waiting for your turn or turning off other distractions while in session. Guidelines will also often include the use of tabletop safety tools like the “X-Card.”

Additionally, the creation of these group guidelines will also include discussions about appropriate content and how we talk to one another in session. We’ll talk about what kind of things we want in our adventure (usually epic quests, fun puzzles, and exciting combat) and things we DON’T want in our adventure (things like racism, homophobia, ableism, adult content, etc.)

All efforts will be made to help participants find strategies to uphold and maintain behavior expectations.

In rare cases where a participant’s behavior disrupts the function of the safety of the group, the participant may be removed from session. If this happens, a meeting will be scheduled with the participant (and a guardian, if appropriate) to discuss a plan for group re-entry.

Privacy

Three Dragons in a Trench Coat does not provide any clinical services and participants should not expect any kind of confidentiality a clinical setting affords.

That said, we will take many reasonable steps to maintain a safe, private online or in-person gaming space. Participants may not video or audio record any session and participants are reminded to use good judgment when discussing personal or private information during group.

There are some specific limits to privacy and confidentiality that align with the mandated reporting laws in the state of Colorado. A mandated reporter is required to report actual or suspected cases of abuse or neglect to the following populations: minors, dependents, and elders over the age of 65. Limitations to confidentiality include mandated reporting, imminent harm to self or others, court order, and national security threat.

Cancellation

Schedules and times for sessions will be emailed out as early as feasible and all effort should be made by both participants and facilitators to adhere to those dates.

In the event a participant needs to cancel their attendance at a session, notice should be sent via email as early as possible. Cancellations that happen at least 48 hours in advance will receive a refund for that session. Cancellations within 48 hours of a session are not guaranteed a refund.

In the unlikely event a facilitator cannot attend a scheduled session, an attempt will be made to reschedule that session to a different date. In the event the session cannot be rescheduled, refunds will be issued.
